Basic FunctionThe Project Coordinator’s primary function is to organize the tactical execution of digital engagement strategies, with a key focus on marketing automation. This role coordinates efforts of the project team that is responsible for improving the lead generation and donor journey life cycle for Komen Affiliates. This individual will work directly with the Shared Services Operating Group (SSOG), which is a cohort of Susan G. Komen Affiliates that are collectively deciding on and executing on these strategies. Effective and timely communication is critical in this role. The Project Coordinator will work in a fast-paced, agile environment, and must have a “do whatever it takes” attitude.
Primary Responsibilities• Consults with SSOG Affiliate staff to gather and document requirements and business processes that need to be accounted for in the development of engagement strategies.• Ensures smooth execution of marketing automation strategies and tasks by working closely with project team members at Komen HQ, as well as the Affiliate members of the SSOG.• Documents program tasks and dependencies, and identifies obstacles needing resolution from the project team.• Ensures end-user acceptance of solutions by soliciting their involvement in defining requirements and functionality, as well as orchestrating user acceptance testing.• Develops models, diagrams, or other documentation needed to accurately communicate business rules and requirements to the development and project teams.• Documents meeting agenda and minutes, and provides regular status updates to the SSOG Affiliate team members, HQ project team and Komen management so that all involved are informed of upcoming tasks and potential risks. Facilitates all scheduled calls w/ SSOG members.• Creates detailed project plans and holds project team members accountable for meeting deadlines.• Responsible for managing all projects for the SSOG project team, and will therefore be an advocate for SSOG Affiliate stakeholders, focusing on customer service and translating needs and solutions between Affiliate stakeholders and the technical teams.• Handles multiple projects simultaneously and helps to set priorities for the project team to ensure deadlines are met.• Collaborates with HQ and Affiliate staff, fostering positive relationships in an effort to drive customer satisfaction.• Prepares and maintains documentation of business processes, technical solutions, and best practices.• Keeps core teams and leadership informed of project statuses.
Minimum Experience Required• Minimum 3 years experience working in project coordinator, project management, or business analyst type of role• Bachelors degree in a related technical field or equivalent experience• Excellent interpersonal skills and a collaborative work style• Proven ability to thrive in a fast paced, technology driven service environment• Demonstrated success working in highly collaborative/cross-functional environments• Ability to develop project plans to execute changes, track deliverables and communicate project statuses and new business processes
Preferred Experience• Experience working in a franchise for-profit or federated non-profit environment• Excellent verbal, analytical, organizational, writing and presentation skills.
